Tavistock Dental Practice Terms and Conditions

Introduction

Welcome to Tavistock Dental. These Terms and Conditions outline the rules and regulations for the use of our dental services. By accessing and using our services, you accept and agree to be bound by the terms outlined below. If you disagree with any part of these terms, please do not use our services.

Appointments

Booking: Appointments can be made in person, by phone, or online. We will endeavour to schedule appointments at your convenience, subject to availability.

Cancellation Policy: We have a 48-hour cancellation policy for assessments and hygiene appointments. For treatment appointments, we require 72 hours’ notice. Sedation treatment and root canal appointments require a minimum of 5 working days’ notice. Please note that the cancellation period does not apply on weekends and bank holidays.

Charges for missed treatment appointments are £3 per minute. The cost for missed hygiene appointments is £25 for a 30-minute session and £50 for a 1-hour session.

Missed Appointments: Missed appointments without prior notice may also incur a fee. Repeated missed appointments may result in the termination of our services.

Late Arrivals: If you arrive late for your appointment, we will do our best to accommodate you. However, your appointment may be shortened, rescheduled, or, in some cases, cancelled if you are more than 15 minutes late.

Treatment Plans and Consent

Treatment Plans: After your initial consultation, a treatment plan will be provided, including the estimated costs. This plan may be adjusted as your treatment progresses.

Informed Consent: Before any treatment begins, your dentist will explain the procedures, risks, benefits, and alternatives. You will be required to give your written consent before proceeding with any treatment.

Referrals: In cases where specialist care is required, you may be referred to another specialist within our practice or externally. We will ensure that all referrals are made with your best interests in mind.

Fees and Payment

Fees: The cost of treatment will be explained to you in advance. We strive to provide accurate    cost estimates; however, these may vary depending on the complexity of the case.

Deposit Requirement: A 50% deposit of the total treatment cost is required at the time of booking for more extensive treatments. This deposit secures your appointment and is deducted from the total cost of your treatment.

Payment Terms: Payment for the remaining balance is required at the time of treatment unless otherwise agreed. We accept major credit and debit cards, bank transfers, and cash.

Payment Plans: For more extensive treatments, payment plans may be arranged. These must be agreed upon in advance.  

Non-Payment: Failure to settle your account may result in the suspension of further treatment until payment is made. Persistent non-payment may lead to the involvement of a debt collection agency.

Insurance

Insurance Claims: If you have dental insurance, we can assist you with providing the necessary documentation for your claims. However, it is your responsibility to settle our fees and reclaim the costs from your insurance provider.

Private Patients: Tavistock Dental is a private practice; patients are responsible for the full payment of services. Any reimbursement from insurance companies is the patient’s responsibility.

Confidentiality and Data Protection

Patient Records: All patient records are kept confidential and in accordance with data protection laws. We will not share your information with third parties without your consent, except as required by law.

Access to Records: You have the right to access your dental records. Requests for records should be made in writing, and we will provide them within a reasonable time frame.

Complaints Procedure

Making a Complaint: If you are dissatisfied with any aspect of our service, please let us know as soon as possible. Complaints can be made in person, by phone, or in writing.

Resolution: We take all complaints seriously and will do our best to resolve any issues promptly and fairly. We aim to respond to all complaints within 10 working days.

Use of Website

Governing Law

These Terms and Conditions are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from these terms will be subject to the exclusive jurisdiction of the courts of England and Wales.
